AI-assisted parsing can turn unstructured transaction descriptions into a useful draft while keeping approval with the accountant.
Book Keepers help guide: AI-assisted parsing can turn unstructured transaction descriptions into a useful draft while keeping approval with the accountant.
This guide is written for company administrators, accountants, and operational users working inside the Book Keepers SaaS workspace. Menu options depend on the modules and permissions enabled for your subscription.
When to use this guide
Manually interpreting transaction descriptions and preparing journal details is repetitive, especially when the source text uses inconsistent wording.
Before you begin
- Ensure the chart of accounts contains the accounts likely to be used.
- Give AI parsing access only to trained accounting users.
- Keep the original bill, receipt, bank message, or transaction description for verification.
Step-by-step workflow
- Open the supported journal or expense entry screen and choose the AI parsing option.
- Enter a complete instruction containing the transaction date, amount, currency, party, payment method, and business purpose.
- Review the proposed accounts, debit and credit amounts, description, and reference.
- Correct any suggestion that does not match the supporting document or company accounting policy.
- Confirm total debits equal total credits.
- Save or post only after an authorized person has completed the review.
Realistic business example
Input: “Paid July office internet bill of PKR 12,500 to FiberNet from Meezan Bank on 8 July.” The draft should debit Internet Expense and credit Meezan Bank for PKR 12,500. The accountant still verifies the date, accounts, amount, and document before saving.
How Book Keepers handles the records
Book Keepers can use AI-assisted parsing to propose structured journal information from natural language. The generated result remains a draft that users can validate before posting.
Verify the result
- The draft reflects the exact source amount and date.
- Debit and credit accounts exist and are appropriate.
- No sensitive password, card PIN, or unnecessary personal data was included in the prompt.
- The final entry remains traceable to its supporting document.
Common mistakes to avoid
- Posting an AI suggestion without review.
- Providing vague instructions such as “paid a bill.”
- Assuming AI can decide tax treatment or accounting policy without company context.
- Using AI output to bypass approval or posting permissions.
Recommended working routine
- Provide complete descriptions including amount, payment method, party, and business purpose.
- Treat every generated account and value as a suggestion that requires review.
- Keep posting permissions and balanced-entry validation in place regardless of how the draft was created.
