Book Keepers help guide: Structured projects and work statuses give managers a clearer view of responsibility, progress, and operational bottlenecks.

This guide is written for company administrators, accountants, and operational users working inside the Book Keepers SaaS workspace. Menu options depend on the modules and permissions enabled for your subscription.

When to use this guide

When work is coordinated through informal messages, managers cannot reliably see ownership, current status, or delayed deliverables.

Before you begin

  • Create departments, products or services, work statuses, and submission modes.
  • Create users and give project permissions only to the employees involved.
  • Agree on what each work status means, including when work is considered complete.

Step-by-step workflow

  1. Open Project Management → Projects and create a project.
  2. Enter the customer or business context, department, product, dates, branch, bank, and assigned users where applicable.
  3. Set the initial work status and add enough detail for another employee to understand the expected result.
  4. Update the status as work moves through the agreed process instead of reporting progress only through messages.
  5. Use the project dashboard or list filters to review delayed work, departmental workload, and completed items.
  6. Close the project only after the deliverable, submission method, and related financial follow-up have been confirmed.

Realistic business example

A tax filing assignment belongs to the Tax Department, is assigned to two users, has a filing deadline of 15 July, and moves through Received, In Progress, Client Review, Submitted, and Completed. Managers can see which filings are waiting for client information without asking each employee.

How Book Keepers handles the records

Book Keepers connects projects with departments, products, assigned users, work statuses, submission methods, branches, and banks. Teams get a consistent operational record instead of fragmented updates.

Verify the result

  • The project has an owner, department, deadline, and current status.
  • Assigned users can see the project but unrelated users cannot modify it.
  • The final status matches the real delivery state.
  • Overdue projects remain visible in management review.

Common mistakes to avoid

  • Creating different status names for the same stage.
  • Marking work complete before client submission is confirmed.
  • Assigning every project to every user.
  • Using descriptions that do not identify the expected deliverable.

Recommended working routine

  1. Define a small set of work statuses that reflects the real delivery process.
  2. Assign clear responsibility and department ownership for every project.
  3. Review delayed work by status and resolve bottlenecks before adding more tasks.
