Control Business Expenses with Budgets and Recurring Records
A consistent expense workflow helps prevent missed costs, duplicate entries, and unexpected budget overruns.
Book Keepers help guide: A consistent expense workflow helps prevent missed costs, duplicate entries, and unexpected budget overruns.
This guide is written for company administrators, accountants, and operational users working inside the Book Keepers SaaS workspace. Menu options depend on the modules and permissions enabled for your subscription.
When to use this guide
Expense data is often scattered across receipts, messages, and spreadsheets. Late entry makes cash reporting unreliable and prevents managers from seeing overspending early.
Before you begin
- Create appropriate expense heads and payment accounts.
- Create branches if costs must be reported separately.
- Keep the supplier invoice or receipt and confirm the transaction date.
Step-by-step workflow
- Open Expense → Expense Register and select Add Expense.
- Choose the expense account, payment account, branch, date, amount, description, and reference.
- Review the accounting preview and confirm the expense is charged to the correct period.
- For rent, subscriptions, salaries, or other repeating costs, open Recurring Expenses and create a schedule.
- Choose whether generated occurrences require approval. Review and approve them before they become final expenses.
- Use filters and the printable expense register to review spending by period, branch, or category.
Realistic business example
Monthly office rent is PKR 85,000 and is paid from the main bank account on the first day of each month. Create one monthly recurring schedule. If approval is enabled, the July occurrence stays pending until an authorized user reviews and approves it.
How Book Keepers handles the records
Book Keepers provides expense heads, registers, budgets, branch allocation, and recurring expense schedules. Each expense can follow a controlled posting process instead of becoming an isolated record.
Verify the result
- The expense date and amount match the supporting document.
- The selected payment account balance changes correctly.
- The expense appears once in the register and relevant ledger.
- The recurring schedule has the correct next run date and is active.
Common mistakes to avoid
- Using the payment date when the expense belongs to a different accounting period without review.
- Creating both a manual expense and a recurring occurrence for the same bill.
- Selecting a bank account that was not actually used.
- Approving generated expenses without checking changed supplier amounts.
Recommended working routine
- Define a short and meaningful list of expense categories.
- Record costs as they occur and attach the correct business context.
- Set budgets for controllable categories and review actual spending against them.
